● Contracting Parties.
These Terms and Conditions Are Legally Binding Between Travellers and Albertine Region Safaris
Rwanda LTD, hereinafter referred to as Albertine Region Safaris.

● Acceptance Of These Terms.
Please Note, Acceptance Of the Quotation From Albertine Region Safaris Constitutes Acceptance Of  These Terms & Conditions, Which Take Effect As Soon As Albertine Region Safaris Issue To You With A Confirmation.

● Accommodation.
Accommodation Room Types And Specifications Are As Shown In The Itinerary, As Well As Meals.

● Transfers.
Transfers Are Provided On Travel And Departure From the Airport To The Hotel Or Lodges And
Return Only Where Specified In The Itinerary.

● Itinerary:
Accommodation is arranged. Sightseeing is subject to change anytime due to Circumstances beyond Albertine Region Safaris’ control. Every Effort Will Be Made To Operate Tours As Planned, But Alterations May Occur After The Final Itinerary Has Been Issued.

Albertine Region Safaris Also Reserves The Right To withdraw a Tour Or Any Part Of It To Make Such Alterations To The Itinerary Or The Tour Inclusions As It Deems Necessary Or Desirable And To Pass On To Tour Members Any Expenditure Or Losses Caused By Delays Or Events Beyond Its Control.

In Case Of Any Appreciable Variation In The Tour Prices Due To These Circumstances, Albertine Region Safaris Reserves The Rights To Make Adjustments To The Tour Costs As Necessary.

● Special Requests:
Specific Requests Should Be Advised At The Time Of Bookings. Please Note That Every Effort Will Be Made To Secure Special Requests, However, They Can Not be Guaranteed.

● Baggages:
Albertine Region Safaris Provides Handling Of Baggage Only As Specified In The Quotation Weight Restrictions For Baggage On The Some Routes On Internal/ Domestic Flights May Apply Details Of Which Will Be Provided With Pre Tour Documentation, Baggages And Personal Effects Are The Owners Risk Throughout The Tour And Albertine Region Safaris Assumes No Liability For Lost Or Damaged Baggage Insurance Is Strongly Advised.

Please Check With Your International Carrier For Other Baggage Restrictions Applicable To Your International Flight.

● Taxes & Gratitudes.
Hotels & Lodges Taxes Imposed By City And State Governments Are Included. Airport Taxes Are Included Where Specified In The Itinerary. Gratitude for Guides, Drivers, Porters, Camp Staff, Ship Crew, and Tour Managers is not Included And is at the discretion of the Traveler.

● Payment Methods.
Payments May Be Made By Credit Card & Bank Transfer. Albertine Region Safaris Can Not Guarantee
that Other Methods Of payment will Not Be Accepted And Therefore advises the Most Suitable Payment
Method At The Time Of Deposit.
Travelers Are Liable For All Bank Related Transaction Charges.
● Cancelation Policy.
All Cancellations Must Be Received In Writings By Your Albertine Region Safaris Tour Consultant,
Unless Otherwise Specified In Your Quotation. The Following cancellation terms and conditions will
apply To Your Booking. Cancellations received Between The Date Of Booking And 61 Days Before
Departure Will Result In The Loss Of The Deposit.
Cancellation Received In 60-46 Days Before Departure Will Be Subject To A Cancellation Charge Of
50% Of The Tour Price, The Cancellation Of Airline Tickets Will Be Subject To The Refund Policy Of
Each Individual Airline And May Be Greater Than The Percentages Above, Particularly When Low
Cost/ Net Based Fares Are Used.
The Purchase Of Special Event Tickets Is subject to The Refund Policy Of Each Individual Event, Please
Refer To The Specific Event Policy For Details.
● Cancellation By Albertine Region Safaris.
We Reserve The Right In Any Circumstance To Cancel Your Holiday For Reason, However We Will
Not Cancel Your Hotel Arrangement Less Than 60 Days Before Your Departure Date, Except For
Reasons Of Force Majeure Or Failure By You To Pay The Final Balance, If You Fail To Pay The
Balance Of The Holiday Price At Least 60 Days Before Departure, Albertine Region Safaris Will Treat
Your Booking As Canceled And Levy The Cancellation Charges Set Out In Clause, If Albertine Region
Safaris Is Obliged To Cancel Your Holiday In Any Other Circumstances Before Departure, Albertine
Region Safaris Will Use Its Best Endeavours To Offer Alternative Arrangements Of Equivalent Or Very
Closely Similar Standards And Price, If Available, Travel Arrangement Of Lawer Standard And A
Refund Of The Difference In Price Or Will Give You A Full And Prompt Refund Of All Monies Paid.

● Claims And Refund.
Refunds are Not Made For Any Missed Services Except For Verifiable Extenuating Circumstances,
Please See Our Limits On Albertine Region Safaris’ Responsibility Clause Below For Verifiable Claims
To Be Considered. The Must Be Received In Writing Within 30 Days Of The Termination Of The
Program. Any Adjustments Considered Will Be Based On The Actual Price Of The Services Involved
And Not On A Per Unused Sightseeing Trips Or Meals, Albertine Region Safaris Will Not Accept Any
Liability For Any Claims That Are Not Received Within 30 Days Of The Termination Of Your Program,
Any Payment Made By Albertine Region Safaris, Either By Way Of Refund Or As The Result Of
Successful Claim, Will Be Limited To And Not Exceed The Sums Retained By Albertine Region Safaris
In Respect Of Related Booking.
● Prices & Arrangements:
The Tour Prices Include Planning, Handling, And Operational Charges and are Quoted Based On The
Current Rates Of Exchange And Tariffs. Entrance Fees As Part Of Scheduled Sightseeing Tours Are Also
Included In This Price. This is subject to Revision In Line With Significant Changes In Foreign Currency
Tariffs, Rates, & Taxes
● Exclusions:
The Cost Of Obtaining Passports, Visas, Excess Baggages Charges, Items Of A Personal Nature Such
As Drinks, Laundry, Telephones Calls, Fax Charges, And Excess Baggages Charges Unless Expressly
Included In Writing Are Not Included In The Tour Price.
● Photography:
Albertine Region Safaris Reserve The Right To Take Photographs During The Operation Of Any
Program Or Part There of And To Use Them For Promotional Purposes By Booking A Program With
Albertine Region Safaris Travellers Agree To Allow Their Images To Be Used In Such Of Photographs,
Travellers Who Prefer That Their Images Not To Be Used Are Asked To Identify Themselves To
Albertine Region Safaris before Final Payment And They Will Be Exempted From This Photography
Waiver Clause.
The Use Of Drones For Photography Or Any Other Purpose Is Forbidden On Any Albertine Region
Safaris Trips Unless Permission Has Been Previously Communicated In Writing And Granted By
Albertine Region Safaris.
● Descriptions And Imagery:
All Photography Imagery and Descriptions Used By Albertine Region Safaris Online And Within
Promotional Documentation Have Been Included With The Intention Of Presenting A True And
Accurate Reflection Of Your Holiday Destination.
However Due To Circumstances Beyond Our Control It Is Foreseeable That Some Destinations Will
Change In Appearance Throughout The Year And So Many Appear To Have Varied At The Time Of
Your Stay, Eg Due To Adverse Weather Albertine Region safaris Will Course Make Every Attempt To
Notify You In Advance Of Your Any Effect On Accommodation, Or Its Surroundings If We Are Made
Aware Of The Same, However Cannot Be Held Liable In This Regard.
● Surveillance And Security.
Please Note That In Some Properties, Surveillance Cameras And Security Equipment May be Installed
Inside And /or Outside The Property, Which May Have The Capacity To Remotely Monitor Or Recode
Images And Or Sound. If You Have Concerns Or Issues With This, You Must Inform Our Team Before
Your Trip.
● Activities.
Some Activities May be Booked By Albertine Region Safaris. However, Should You Wish To Participate
In Other Or Additional Activities, we strongly advise that You Book In Advance To Avoid
DisAppointment.
Some Activities, Most Notably, Are Required At The Time Of Booking, And Water Activities Are
Subject To Weather And Water Levels. Albertine Region Safaris cannot Be Amended And Or Canceled
As A Result Of Such Matters over which Albertine Region Safaris has no Control.
● Registration:
A Non-Refundable Deposit Is Required At The Time Of Booking, The Deposit Amount Will be
Specified At The Time Of Booking, however, It Is Normally 60% Of The Tour Price. The Remainder Of
The Tour Cost Is Payable On The Date Shown On Your Quotation, Normally 60 Days Before Departure.
If The Reservation Is Made After This Date, The Entire Tour Price Must Be Paid At The Time Of
Confirmation.
● Health Precautions for Africa.
Please Ensure That You Consult Your Physician About Anti Malaria Precautions And Other Inoculations
And Vaccinations Before Travel, Where Applicable. Please Ensure That Whilst Traveling, You Carry A
Valid Yellow Fever Certificate.
It Is The Responsibility Of Travellers To Become Informed About The Most Current Travel Advisories
And Warnings By Referring To Their Respective Government Agencies In The Event Of An Active State
Department Or Government Agency Travel Warning Against Travel To Specific Destination Or
Locations Of The Trip, Should The Travellers Still Choose Travel Notwithstanding Any Travel Advisory
Or Warning, The Traveller Assumes All Risk Of Personal Injury, Death Or Property Damage That May
Arise Out Of The Events Like Those Advised Or Warned Against.
● Traveler Representation:
If You Or Any Member Of Your Party Has Any Medical Problem Or Disability Which May Affect Your
Stay, Please Provide Us With Full Details Before We Confirm Your Booking So That We Can Try To
Advise You As To The Suitability Of Your Chosen Arrangements. We May Require You To Produce A
Doctors Certificate Certifying That Your Fit To Participate In The Tour, Acting Reasonably, If We Are
Unable To Properly Accommodate The Needs Of The Person Concerned, We Will Not Confirm Your
Booking Or If You Did Not Give Us Full Details At The Time Of Booking, We Will Cancel It And
Impose Applicable Cancellation Charges When We Become Aware Of Those Details.
● Air Transportation;
Airlines Concerned Are Not To Held Responsible For Any Act Omission Or Event Occuring While
Passengers Are Not Board Their Aircraft International, Air Carriers Are Also Subjected To International
Air Conventions Limiting Their Liability, These Limitations Of Liability Are Explained On The E-Ticket
Or The Reverse Of The Airline Ticket And When Issued, This Constitutes The Sole Contact Between
The Respective Air Carrier And Passengers.
Airline Overbook All Flights, We Therefore Recommend That You Check In Online As Soon As Online
Check In Is Made Available By The Airline, If You Do Not Book In Online Or Any Reason Are Unable
To Do So, We Recommend That You Are The Airport To Check In 3 Hours Before Departure As Airlines
May Re- allocate Seats In The Event Of Late Check In And Arrivals, Albertine Region Safaris Is Unable
To Check You In And It Is Your Responsibility To Ensure You Are Checked In Within The Appropriate
Time, Albertine Region Safaris Is Neither Nor Liable If You Are Downgraded An Airline Class As
Result Of The Airline Overbooking The Class In Which You Are Booked Seat Reservation Are At The
Discretion Of The And May Be Changed At Any Time Without Notice.
● Passports & Visas.
Please Note That Passport Holders Are Responsible For Obtaining The Required Documentation
Applicable For Entry, Please Note Also That Passport Must Be Valid For At Least Six 6 Months After
Completion Of Your Journey And Should Also Have Sufficient Blank Pages For Visas And
Immigrations Stamps, Albertine Region Safaris Cannot Be Held Responsible Should You Be Denied
Entry Due To Non Compliance With These Requirements, Should You Require Specific Information
Ahead Of Travel Please Consult The Travel Advice Produced By The Government Of Your Home
Country As Well As That Of The Government Who Issued The Passport And Visa You Intend To Travel
Under.
● Traveling With Children.
We Recommend That If Are Travelling With AChild That Does Not Share Your Surname Order To
Minimize The Possibility Of Disruption To Your Travel Plans, You Travel With Documents That Proves
Your Relationship To The Child As Well As Documentation That Proves You Permission To Travel
With Them, Albertine Region Safaris Can Not Be Held Responsible Should You Or Any Member Of
Your Travelling Party Be Denied Entry To A Country Due To Non Compliance With These
Requirements, Should You Require Further Specific Information A Head Of Travel, Please Consult The
Travel Advice Produced By The Government Who Issued Of Your Home Jurisdiction As Well As That
Of The Government Who Issued The Passport And Or Visa You Intend To Travel Under.
Due to the Nature Of Some Of The Excursions And Activities Involved In Albertine Region Safaris
Trips, Minimum Age Requirements Are In Place At Some destinations, Additionally, some
accommodations require That Children Below A Certain Age Share A Room With An Adult. Such
Circumstances Vary And Will Be Specified Within Your Itinerary Ahead Of Travel And At The Time Of
Booking.
● Travel Insurance:
Albertine Region Safaris strongly Recommend All Guests Take Out Comprehensive Travel Insurance
Prior To Date Of Travel, This Insurance Should Cover Cancellation And Curtailment, All Medical
Expenses Including Evacuation/ Repercussions Personal Baggages, Personal Liability Death And
Permanent Disability And Travel Document Insurance.
● Arbitration Agreement.
Any Claim Arising Out Or Relating To These Terms And Condition To The Limits On Albertine Region
Responsibility Clause, To The Brochure To Any Information Relating In Any Way To The Trip Itself Or
To Any Products Or Service Related To The Trip Shall Be Settled In The First Instance By Binding
Arbtractration In The Applicable Legal Forum As Detailed In Clause Following Of These Terms And
Conditions, instead of A Personal Appearance At Abstraction The Abstraction May Be Conducted By
Telephonic Means, Abstraction Is The Exclusive Forum In The First Instance For Dispute Resolution
And Except As Otherwise Provided By Statute, Each Party Shall Bear Its Costs And Expenses And An
Equal Share Of The Arbitrator And Administrative Fees.
The Applicable Law And Forum:
This Agreement Shall Be Construed Interpreted And Enforced In Accordance With And Shall Be
Governed By The Laws Of Rwanda And Elsewhere The Albertine Region Safaris Is Operating From
And It Is Agreed Between Albertine Region Safaris And The Travellers That All Lawsuits Against
Albertine Region Safaris Arising Under In Concentration With Or Incidental To The Tour Shall Be
Filed, If At All In The Courts Of Rwanda Other Countries Albertine Region Safaris Operates From To
The Exclusion Of The Courts Of Or Any Other Country Or Jurisdiction.
● Gorilla Permit:
Gorilla Permit Are Sold By the Rwanda Development Board (RDB). Albertine Region Safaris Can Only
Guarantee the Acquisition Of Permits From RDB Upon Receipt Of Full Payment From The Guest/
Client. Once The Permits Are Brought, They Are Non Refundable.
The Minimum Age Limit for trekking in Rwanda Is 15 Years, Visitors Are Allowed To Stay With The
Gorillas For A Minimum Of 1 hour. Maximum Of 8 People Per Family Of Mountain Gorillas/ Group.
Permits Are Not Part Of The 60% non-refundable deposit, But Stand Alone As Permits At Full Charge
Once Confirmed And Purchased.
